Workspace Community Coordinator CRE Specialist 1 Job title: Workspace Community Coordinator Location: Sofia Overview of the role: The Workspace Community Coordinator plays a vital role in supporting a workspace environment that meets the needs and expectations of employees and visitors. This role contributes to enhancing the daily workplace experience by coordinating services, fostering a positive office atmosphere, and ensuring seamless delivery of soft operations and workspace activities. Reporting to the Workspace Manager, the Workspace Community Coordinator acts as a key point of contact for office-based queries and workspace-related support. The Workspace Community Coordinator supports the implementation of service programs and cultural initiatives that reflect Flutter’s values. They collaborate with internal teams and external vendors to maintain a high standard of hospitality, wellbeing, and operational excellence across the workspace. What you’ll do: Workspace Experience and Culture Support the delivery of the on-site experience strategy to help maintain a welcoming and inclusive office environment aligned with Flutter culture. Coordinate the local implementation of global workspace campaigns, sustainability programs, and cultural activations. Collect employee feedback and support initiatives that enhance the workspace experience in response to evolving needs. Assist in sharing the story and value of workspace activities and events to help build a sense of community and belonging. Employee Journey and Engagement Coordinate workspace touchpoints such as onboarding, office tours, and employee milestones to build connection and familiarity with the office environment. Coordinate workspace-led events and provide on-the-ground support for campaigns, Townhalls, or team celebrations. Assist with the logistics and onsite support for events organized by other teams, ensuring smooth execution. Help deliver local internal communications in collaboration with relevant teams, ensuring visibility of key messages and initiatives. Work closely with the site Leadership team to ensure the workspace supports collaboration, performance, and engagement. Operational & Soft Services Management Ensure the consistent delivery of soft services (cleaning, reception, catering, vending machines, coffee and water machines, events support, etc.) by supporting scheduling, quality checks, and issue resolution. Support small improvements to the workspace environment that enhance comfort, functionality and efficiency. Manage the receipt and distribution of incoming mail and packages, and coordinate outgoing mail on a daily basis. Ensure the mail and delivery handling area is kept clean, organized, and secure to minimize the risk of misplaced or damaged items. Ensure manual tasks including handling deliveries and supporting physical setups are carried out in a safe and efficient manner, in line with manual handling training and safety procedures. Liaise with vendors and monitor service standards to help ensure providers meet expectations. Monitor and manage the Workspace inbox and task ticketing system to ensure timely follow-up and coordination. Induct contractors onto site including general health & safety induction; Engage sub-contractors monthly to ensure planned maintenance visits are carried out on time and planned with the wider team/business; Compliance, Documentation & Access Control System Maintain site-level records and documentation, such as contractor logs, compliance files, and workspace training matrices, ensuring up-to-date and accessible materials. Support access control processes including card issuance and onboarding/offboarding tasks, in collaboration with HR and security teams. Carry out leavers and new joiners process. Inventory, Procurement & Reporting Track and maintain inventory of workspace consumables, including snacks and free food items, ensuring timely restocking and placing orders and as needed in line with approved budgets and service expectations. Create and raise purchase orders (POs) for soft services and workspace needs, ensuring accuracy and budget alignment. Consolidate data and insights for monthly reporting on workspace operations, services, and vendor performance. Manage stock and production of Access cards. What you’ll bring: Minimum 3-4 years of experience in office coordination, hospitality, events, or employee engagement roles. Strong organizational and multitasking skills, with an eye for detail. Proficient in internal communication and customer service. Comfortable working with different stakeholders and service providers. Fluent in English, both written and spoken. Proficient in MS Office applications (Outlook, Excel, Word, PowerPoint, etc.) for daily coordination, reporting, and communication tasks. Strong problem-solving skills with a proactive approach to resolving workspace issues. Basic procurement knowledge, including raising purchase orders and working within budget constraints. Experience supporting events, including logistics and vendor coordination. Comfortable preparing basic data reports and tracking service metrics. Customer service mindset with a friendly and responsive attitude toward employee and visitor needs. Strong collaboration and communication skills to work effectively with cross-functional teams and external partners. Desirable skills and certification Bachelor’s degree in Business Administration, Hospitality Management, Facilities Management, Communications, or a related field is preferred. IOSH working safely / IOSH managing safely, IWFM Qualification or similar, DSE assessor, Fire Warden, First Aider certifications are preferred. Level 2 Award in Legionella Awareness (Hot & Cold Systems) is preferred. Experience in a fast-paced or international work environment is an advantage. Familiarity with visitor management systems or workspace technology is preferred. Awareness of ESG, H&S and sustainability in corporate environments. Experience supporting workspace events or employee engagement programs. Understanding of procurement processes and vendor interactions. Ability to manage compliance records and documentation.
