Responsibilities

Job Responsibilities:

    • Oversee workspace operations to ensure excellence, efficiency and alignment with business needs;
    • Ensures that the facility is secured, well-maintained, and clean, according to company standards;
    • Plan, coordinate, and manage all installations and refurbishments;
    • Implement and monitor security and emergency procedures as required (in partnership with Security team);
    • Ensure compliance with health, safety, and environmental regulations;
    • Lead, develop and support the Facilities team in their daily responsibilities;
    • Supervise all facilities-related staff, including cleaning personnel, technicians, security, and external contractors;
    • Manage activities related to office space allocation, parking management, waste disposal, and building security coordination;
    • Take full responsibility for all Facility and Admin tickets until resolution;
    • Coordinate arrangements for office visitors, including external business partners and business trip visitors;
    • Oversee office space management, such as meeting room allocation and office space rearrangement as necessary;
    • Manage business travel arrangements for team members in Bulgaria;
    • Handle all correspondence and shipments, both inbound and outbound;
    • Lead office rightsizing, renting and relocation projects and support workplace initiatives;
    • Assist with the organization of corporate events, activities, and ad-hoc projects;
    • Manage insurance and service contracts. Works closely with vendors;
    • Maintain all related purchase orders, financial, and non-financial records;
    • Keep strong focus of the function on facility management best practices, with an emphasis on service excellence, continuous improvement, and efficiency;
    • Conduct analysis, forecasting, and planning for facilities-related needs.

Job Requirements:

    • Bachelor’s degree or higher, or equivalent substantial experience;
    • Minimum of 3 years of professional experience in Facility Management within an international or multinational company;
    • Demonstrated experience managing office spaces of more than 200 seats operating 24/7;
    • Extensive knowledge of facility management best practices, with an emphasis on service excellence, continuous improvement, and efficiency;
    • Proven experience in vendor management and engaging with internal stakeholders. Excellent written and verbal communication skills across all levels;
    • Strong decision-making and problem-solving abilities are essential;
    • Proficiency in Microsoft Office and Google Services, with the ability to quickly adapt to new platforms and processes;
    • Exceptional analytical, teamwork, and organizational skills;
    • Fluent in spoken and written English;
    • Meticulous attention to detail;
    • Able to work independently as well as collaboratively, based on needs and priorities;
    • Understanding of business acumen—comprehension of technical, financial, and organizational structures—is a plus.
