Responsibilities
The Metropolitan Opera is seeking a highly organized, detail-oriented Executive Assistant to join our dedicated Development team and support the Assistant General Manager, Development.
Under the supervision of the AGM, Development, this role performs a variety of complex tasks and ensures that the AGM is provided with high-quality support necessary to carry out daily duties efficiently and effectively. The nature, diversity, and scope of responsibility requires use of discretion, initiative, judgment, cooperation, and the ability to interact successfully with prospects, donors, staff and artists. The right person is willing to have night and weekend work as a part of their regular week to support the work of the AGM at off-hours.
Primary Responsibilities
- Maintains Assistant General Manager, Development’s calendar, making all necessary changes to ensure that the calendar is accurate and complete with all helpful details; also contribute and manage the calendar function for the Development department when assigned and as needed.
- Plans and coordinates all meetings, meals and events hosted by AGM internally and externally, including scheduling, reminders, catering, place cards, and other logistics, and gathering and developing meeting materials.
- Takes meeting minutes and prepares them in a timely manner for approval and distribution. Prepares meeting materials and track follow-up tasks.
- Serves as liaison between AGM and other department staff communicating information, schedules, assignments, priorities and requests, and serves as a communication link between senior management and executive staff and others.
- Prepares and/or edits high-level and confidential materials and correspondence under the signature of the AGM.
- Reviews, prioritizes and distributes incoming correspondence to AGM as well as general departmental correspondence. Direct incoming emails and calls appropriately, resolving problems including coordinating for resolution with other staff and departments, as necessary. This includes high priority ticketing assistance to donors and prospects in the AGM portfolio.
- Clerical support including data entry into Tessitura records; tracking of AGM solicitor activities, maintaining internal electronic records according to team and organizational policy, processing pledge and gift agreements.
- Coordinate priorities for AGM, tracking to-do lists and daily tasks in coordination with solicitors and managers of various areas
- Arranges all travel for the AGM, which includes making flight reservations and hotel accommodations, providing travel itineraries as needed, arrange visits, processing travel expenses.
- Supports the AGM in all aspects of budgeting – including, but not limited to, purchase orders, reimbursements, credit card expense allocations and budget reconciliation
- Help staff galas and major fundraising events.
- Assists department senior-level managers on specific projects, as needed.
- Other duties as assigned.
Skills and Qualifications
- College degree or equivalent required
- 5 years’ experience as an assistant or executive assistant
- Excellent written and oral communication skills
- Ability to work both independently and collaboratively; the diplomacy and good judgment needed to balance multiple tasks
- Solid computer skills, including word processing, spreadsheets and databases. Knowledge of Tessitura a plus.
- Familiarity with opera and the performing arts a plus
Physical Demands
- Must be able to come into the office everyday

- Frequently required to use repetitive hand motion and to stand, walk, reach, bend
- Occasionally required to lift up to 20 pounds.
$65,000 - $75,000 a year
