The Executive Secretary for Disney Vacation Club will provide support to the Director, Disney Vacation Club (DVC) Sales and Sr. Manager, DVC Sales. In this fast-paced and dynamic position, you will thrive in an environment with frequent last-minute requests and shifting priorities throughout the day and support multiple executives at once. Strong teamwork, collaboration, and a proactive attitude will enable you to contribute to the creation of Disney magic and successfully support a unique business within Disney Signature Experiences (DSE).
The Executive Secretary for Disney Vacation Club will report to the Director of Disney Vacation Club Sales and sits in Lake Buena Vista and Celebration, FL.
Responsibilities:
Manage multiple priorities with professionalism, flexibility, and discretion—supporting the team through the preparation of written communications, expense reports, spreadsheets, presentations, meeting notes, and document organization.
Oversee and coordinate complex calendars and meetings, making informed decisions and taking initiative to ensure smooth day-to-day operations and organizational efficiency.
Arrange and process domestic and international travel for assigned executives, including itineraries, accommodations, and expense submissions, while ensuring compliance with company policies.
Act as a proactive and collaborative team member by supporting both the Executive(s) and broader administrative team, contributing ideas for process improvements, and offering backup coverage as needed.
Anticipate team and business needs while handling sensitive and confidential information with discretion and sound judgment.
Plan and execute team events and outings, managing all related logistics to support a positive and engaging team culture.
Drive enhancements to workflows and outputs by applying creativity, follow-through, and strong technical proficiency across various platforms and tools.
Adapt to shifting priorities and adjust work schedules when necessary to meet last-minute or high-priority requests.
Collaborate with and help guide fellow administrative professionals, while taking on additional responsibilities as needed to support the team’s success.
Required Qualifications:
3+ years of administrative experience in a corporate environment with proven success interacting, partnering, and networking with all levels of management, including executives (Director level) in a fast-paced dynamic environment.
Strong written, verbal, and interpersonal communication skills, with the ability to engage professionally with senior executives, internal stakeholders, and external contacts. Demonstrated ability to draft clear and concise correspondence, reports, and documentation from notes and meeting discussions.
Excellent organizational skills and keen attention to detail; able to manage multiple priorities, meet tight deadlines, and maintain accurate records.
Demonstrated ability to independently resolve cast and guest concerns using sound judgment and minimal supervision.
Proficiency in a variety of systems and applications, including Microsoft Word, Excel, Outlook, PowerPoint, Teams, Workday, SAP, Concur, Coupa, and online research tools.
Collaborative and team-oriented, with a dependable, proactive approach and a commitment to excellence.
Strong time management and the ability to anticipate needs, prioritize effectively, and handle sensitive or confidential information with discretion.
In-depth knowledge of Disney Experiences' culture, structure, and operational practices.
Passion for fostering a supportive, inclusive, and collaborative team environment.
Preferred Qualifications:
5+ years of executive secretarial experience supporting Director level or above.
Experience supporting multiple managers or executives in a fast-paced environment, with demonstrated skills in project coordination, tracking, and operational reporting.
Proven ability to plan and execute team-building activities, recognition programs, and engagement initiatives, including handling logistics and event coordination.
Familiarity with inventory management and procurement processes such as tracking, ordering, and maintaining supplies.
Proficient in project management tools (e.g., Smartsheet) and knowledgeable in service-oriented operations and systems.
Required Education:
Associate’s degree or equivalent work experience.
Preferred Education:
Bachelor’s Degree in Business Administration, Communications, Project Management or related field.
