Responsibilities
Manpower is recruiting an Administrative Assistant on behalf of our public sector client. This role offers a hybrid working arrangement, with a minimum requirement of two days per week in the office and the remainder from home, providing flexibility while maintaining team collaboration.
Hours: Full time 37.5 hours, Monday to Friday.
Contract: Temporary until September 2025
Location: Nantgarw
Start date: Week commencing 9 June 2025
Hourly rate: £12.60
Main duties of the role
To support Secondary Care in the planning and delivery for all specialty training programmes for all Doctors in Training across Wales.
To provide a range of administrative duties across the department which could include supporting National Recruitment, Annual Appraisal Panels, and trainee study days.
To provide information to a broad range of stakeholders including Trainee Doctors, Training Programme Directors, and Health Board colleagues.
To ensure that all trainee information is accurately recorded and maintained on the training database.
Main Responsibilities
- Provide and receive routine information from a wide range of internal and external stakeholders relating to specialty training programmes.
- Coordinate and organise a variety of meetings and events, including recruitment panels, appraisal panels, study days and conferences - which may include booking venues, liaising with panel members, and managing clinical schedules.
- Handle verbal and written correspondence with professionalism, exercising discretion and judgement, and escalating concerns when appropriate.
- Deliver training and support to colleagues and stakeholders on departmental systems and processes, including digital systems.
- Accurately update and maintain trainee information on the in-house training database, generating and sharing reports as needed.
- Support the team with procurement-related tasks such as raising purchase orders, receipting goods and services, and maintaining clear financial records.
- Follow both national and local policies to ensure compliance with mandated standards across training programmes.
- Use initiative to plan and prioritise your own workload effectively, ensuring deadlines are met while working within departmental policies and procedures.
About You:
- NVQ Level 4 Diploma in Business Administration or equivalent experience.
- Well-organised with good attention to detail
- Comfortable communicating with a wide range of people
- Able to manage your time and workload with minimal supervision
- Confident using Microsoft Office and learning new systems
- Previous experience in healthcare, education, or public sector admin is a bonus, but not essential
