Organization Description
The Learning Support Analyst will be part of the Japan HR Talent Management and will report directly to the Japan Talent Management Head
Key Responsibilities
The Learning Support Analyst is responsible for the execution of learning program and coordinates multiple training programs or initiatives based on the requirements that the Japan Talent Management Head will provide. Tasks will vary depending on which process group the analyst will be handling.
Below tasks should be done in Japanese and English
1. Program Execution:
- Responds to participants’ and partners’ inquiries related to: program details, pre-work, travel documents (including introduction, post-program support) Manages coordination of training venues or platforms (classroom and virtual), equipment, catering, travel arrangements, and identifying and booking faculty (internal/external), other logistics and communications
- Manages the learning event and vendor relationship, tending to the practical aspects of space, contracts, schedule, technology, and materials
- Supports the training registration process and tracking registration trends
- Supports the delivery of country regulatory related learning requirements
- Creates virtual / set-up training classrooms, performs checks, and support pre-program set-up
- Prepares communication emails and/or calendar invites and sends it to the participants
- Updates and monitors program rosters
2. Technology and Platforms
- Creates LMS activities and maintains learning calendar
- Uploads online training content in Brainshark, Degreed, or Learning Management System (LMS)
- Acts as the SME for technology platforms and assists other team members for troubleshooting – LMS, Zoom, Adobe Connect, SharePoint, Slido
- Builds and maintains strong relationships with product managers supporting technology platforms – HR Shared Services, Digital Learning Team, etc.
- Collates program evaluation data and carry out first level analysis; prepares and delivers learning data to inform and support stakeholders’ decision making and guide learner activity
- Creates and maintain -Learning-owned SharePoint and Collaborate Sites
- Partners closely with Global Events Management Team for execution of large-scale events
3. Expense Management
- Creates purchase order numbers for confirmed engagements
- Processes the payment for invoices and monitors the payout
- Coordinates with vendors regarding the payment status of invoices
- Responds to payment queries from the vendor and partners
- Responsible for expense accruals and maintaining the expense tracker
- Third Party Management, Facilitates vendor onboarding – contract and system (includes vendor activation)
- Reviews vendor contracts / scope of work / work order
- Responsible for vendor profile maintenance (e.g. updates)
- Supports the Third Party Management team during contract renewal reviews
4. Vendor Management
- Facilitate vendor onboarding – contract and system (includes vendor activation)
- Review vendor contracts / scope of work / work order
- Responsible for vendor profile maintenance (e.g. updates)
- Support the Business Management Lead during contract renewal reviews
5. Billing
- Prepares and reviews billing entries for intercompany charging
- Coordinates with internal Citi partners in clearing the billing
- Responds to queries related to the billing process
Knowledge, Skills, and Abilities
- Strong language capability both in Japanese and English is a must
- Flexibility and experience in managing multiple, high priority tasks and adjust to shifting priorities, while meeting deadlines.
- Ability to work independently and interact with all levels of management in a professional and positive manner
- Strong analytical, project management and process management skills
- Able to multi-task, resourceful and work under pressure
- Excellent written and verbal communication skills
- Strong attention to detail, follow-up and organizational skills
- Learning Management System experience a plus
- Collaboration and e-learning tools experience a plus
- Proficient in MS Office
